Our client, a respected not-for-profit organization in downtown Ottawa, seeks an experienced Administrative Associate (Assistant) to join their dynamic team. This in-office role offers the opportunity to support a mission-driven organization dedicated to shaping Canada’s business landscape.

Duties may include, but are not limited to:

  • Provide dedicated support to the SVP, Client Services, as needed
  • Manage and maintain accurate distribution lists for the database
  • Assist in updating and maintaining the Council Minute Books
  • Coordinate logistical arrangements for members’ meetings, including: Preparing meeting materials (stationery, name tags, tent cards), and arranging travel and accommodation for speakers and members
  • Support membership recruitment efforts by: Researching and gathering information from the FP500, and assisting in outreach and communication initiatives
  • Prepare and reconcile expense claims
  • Schedule meetings and travel arrangements
  • Provide backup support to fellow Administrative Assistants
  • Track and manage member fee payments, including sending letters and receipts, and following up on outstanding payments
  • Other duties as assigned by the SVP, Corporate Services

Required skills and qualifications:

  • 2+ years of experience as an Administrative Assistant, preferably supporting senior executives
  • Excellent organizational and prioritization skills
  • Strong written and verbal communication skills (English)
  • Proficient in electronic and virtual meeting platforms
  • Autonomous and self-motivated
  • Strong problem-solving and critical thinking skills
  • Meticulous attention to detail
  • Collaborative team player attitude
  • High degree of professionalism and discretion
  • Ability to maintain confidentiality
  • Comfortable working in-office

Monday to Friday – 9:00am to 5:00pm

Salary: $50000 – $55000 per year
