Our client, a respected not-for-profit organization in downtown Ottawa, seeks an experienced Administrative Associate (Assistant) to join their dynamic team. This in-office role offers the opportunity to support a mission-driven organization dedicated to shaping Canada’s business landscape.

Duties may include, but are not limited to:
- Provide dedicated support to the SVP, Client Services, as needed
- Manage and maintain accurate distribution lists for the database
- Assist in updating and maintaining the Council Minute Books
- Coordinate logistical arrangements for members’ meetings, including: Preparing meeting materials (stationery, name tags, tent cards), and arranging travel and accommodation for speakers and members
- Support membership recruitment efforts by: Researching and gathering information from the FP500, and assisting in outreach and communication initiatives
- Prepare and reconcile expense claims
- Schedule meetings and travel arrangements
- Provide backup support to fellow Administrative Assistants
- Track and manage member fee payments, including sending letters and receipts, and following up on outstanding payments
- Other duties as assigned by the SVP, Corporate Services
Required skills and qualifications:
- 2+ years of experience as an Administrative Assistant, preferably supporting senior executives
- Excellent organizational and prioritization skills
- Strong written and verbal communication skills (English)
- Proficient in electronic and virtual meeting platforms
- Autonomous and self-motivated
- Strong problem-solving and critical thinking skills
- Meticulous attention to detail
- Collaborative team player attitude
- High degree of professionalism and discretion
- Ability to maintain confidentiality
- Comfortable working in-office
Monday to Friday – 9:00am to 5:00pm
Salary: $50000 – $55000 per year
