About the Team
The Corporate Accounting Team plays a key role in supporting the company through integrity, leadership, and business partnership. Our primary responsibility is preparing and reporting consolidated financial statements to senior management, ensuring informed business decisions. This role will collaborate with the People Operations, Accounting, and Finance teams to enhance processes and provide outstanding internal customer service.
About the Role
As a Payroll Specialist, you will be an integral part of the finance team in a fast-paced startup environment. Reporting to the Payroll Manager, you will handle day-to-day payroll tasks, assist with reconciliations, month-end close, and support financial audits. This role requires adaptability and a willingness to take on various projects as the company continues to scale.
Key Responsibilities
- Process semi-monthly payroll for multi-state employees.
- Manage payroll updates, including new hires, payroll adjustments, and terminations.
- Process off-cycle payrolls for terminations and adjustments.
- Review and validate timesheets using time and attendance software.
- Serve as a resource for employees, assisting with payroll-related inquiries.
- Handle garnishments, support payments, and other deductions, ensuring compliance with government regulations.
- Record payroll journal entries and reconcile payroll balance sheet accounts during month-end close.
- Oversee payroll tax registration, filing, and reporting on a quarterly and annual basis.
- Generate and circulate monthly and quarterly payroll reports as needed.
- Conduct year-end reporting for W-2s and process amendments as necessary.
- Maintain and improve the payroll system, ensuring compliance with federal and state laws.
What We’re Looking For
Qualifications & Skills
- 5-6 years of multi-state payroll experience.
- ADP payroll system experience (preferred).
- Payroll journal booking and account reconciliation experience.
- Intermediate Excel skills (Pivot Tables & VLOOKUP required).
- Strong understanding of federal and state wage laws.
- Excellent communication, organizational, and problem-solving skills.
- Bachelor’s degree in Accounting, Finance, or a related field.
- NetSuite experience is a plus.
- Ability to thrive in a fast-paced, high-volume environment.
Compensation & Work Location
- Salary Range: $80,000 – $95,000 (dependent on experience & location).
- Location: Oakland, CA (Hybrid – in-office on Tuesdays & Thursdays).
