Position Overview:
Under the guidance of the Office Administrator and Managing Attorney, the Administrative Secretary/Legal Assistant (AS/LA) will provide essential administrative and secretarial support to ensure the efficient operation of the Housing Unit. Key responsibilities include handling mail, managing accounting tasks (such as invoicing and check requests), maintaining unit, staff, and client accounts, scheduling meetings, and communicating with clients. The AS/LA will also assist in preparing and organizing case-related documents and other professional materials.

Key Responsibilities:

  • Manage incoming and outgoing mail.

  • Perform accounting duties, including invoicing and check requests.

  • Maintain records for unit, staff, and client accounts.

  • Schedule and coordinate meetings and activities.

  • Communicate with current and potential clients.

  • Prepare, organize, and file case-related and professional documents.

Qualifications:

  • Strong interpersonal, organizational, and time management skills.

  • Excellent written and verbal communication skills.

  • High attention to detail and ability to work both independently and as part of a team.

  • Proficiency with Microsoft Office 365 (Word, Excel, Outlook) and willingness to learn new technologies.

  • Preferred: Previous legal or administrative experience, particularly related to housing or legal aid.

  • Strongly encouraged: Candidates with lived experience of displacement or housing instability.

  • Additional language skills (e.g., Spanish, Haitian Creole, Portuguese, Arabic) are a plus.

Compensation and Benefits:

  • Salary based on union scale, with a range of $46,000 to $49,000 for candidates with 3-6 years of relevant experience (including certain educational experiences).

  • Additional $950 annual payment for fluency in a second language.
