Job Description

The Administrative Assistant plays a vital role in ensuring the smooth and efficient operation of the Campus Office at Coleg Sir Gâr and Coleg Ceredigion. Reporting to the Campus Manager, the role involves providing high-quality administrative support, delivering excellent customer service, and maintaining a welcoming, bilingual environment for learners, staff, and visitors.

Key Responsibilities

  • Provide comprehensive administrative and word processing support as directed by the Campus Manager, Assistant Campus Manager, or Administrative Officer.
  • Support Faculty Managers and other College staff as required.
  • Deliver excellent standards of customer care, maintaining a bilingual reception service.
  • Perform financial functions, including handling petty cash, banking, and processing miscellaneous campus income.
  • Manage registry and admissions functions, including student guidance, online enrolments, and taking ID photographs.
  • Assist in compliance with examination procedures, including online exams and examination certificates.
  • Maintain accurate records by inputting data into computerised systems.
  • Coordinate and manage internal room bookings, college vehicle bookings, and student transport administration.
  • Sort and distribute campus mail and handle general correspondence.
  • Ensure effective collaboration with Estates, Finance, Registry, and Admissions departments.

Skills, Knowledge, and Expertise

Essential Criteria:

  • Microsoft Office Word Processing Level 2 or equivalent IT qualifications.
  • GCSE English and Mathematics at minimum Grade C or O Level equivalent.
  • Proven experience in an administrative role.
  • Strong analytical skills and high self-motivation.
  • Ability to maintain confidentiality and work under pressure.
  • Excellent interpersonal and communication skills.
  • Capability to plan, coordinate, and monitor systems and procedures effectively.

Desirable Criteria:

  • Understanding of relevant issues in Further and Higher Education.
