Job Title: Accounts Assistant
Location: Leicester LE4 9JD (On-site)
Contract Type: Part-time, Permanent (22.5 hours per week, Monday to Thursday)
Salary: £15.93 – £16.48 per hour (FTE £29,000 – £30,000, pro-rata)
Job Summary
We are seeking a dedicated and detail-oriented Accounts Assistant to join our team in Leicester. This on-site, part-time position involves managing purchase and sales ledgers, supporting financial reporting, and ensuring accurate payroll data preparation. The successful candidate will play a key role in maintaining efficient financial operations within the company.
Key Responsibilities
Purchase Ledger Management:
- Register, match, and code invoices accurately.
- Liaise with the Purchase department for invoice queries.
- Manage supplier communications and advise on payment schedules.
- Set up new supplier accounts and conduct necessary checks.
- Reconcile supplier statements and maintain records.
- Post cashbook entries and perform bank reconciliations.
- Ensure the purchase ledger control account is balanced.
Sales Ledger Support (Cover Role):
- Maintain credit control, manage customer communications, and resolve payment issues.
- Prepare and send sales invoices and monthly statements.
- Record and balance incoming BACS/cheque payments.
- Conduct credit checks for new accounts.
- Balance the sales ledger control account.
Payroll and HR Coordination:
- Gather and prepare monthly payroll data for submission to the payroll bureau.
- Maintain employee pay records confidentially.
- Liaise with the HR Advisor and external payroll provider to ensure accurate processing.
Additional Financial Duties:
- Analyze and manage company credit card and cash expenses, ensuring VAT compliance.
- Control petty cash, including foreign currency.
- Assist with month-end journal entries and annual stock take preparation.
- Reconcile accruals list and ensure accurate reporting.
Skills and Experience Required:
- Previous experience in accounts administration, particularly in purchase ledger management.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Excel and financial software.
- Excellent communication skills, both written and verbal.
- Ability to handle confidential information with discretion.
- Experience with payroll data preparation (no tax or NI experience required).
