    Seattle Colleges is looking for a full-time Customer Relationship Management (CRM) System Administrator for Seattle Promise to join our District Office. This position reports to the Associate Vice Chancellor of Public Relations and Strategic Initiatives and is a key member of a district-wide team focused on strategic recruitment, retention, and promoting Seattle Promise to prospective students, families, and the community.

    The CRM Administrator will support these efforts by collaborating with the district’s CRM administrator, communication and recruitment teams, and professionals from the Seattle Promise program across North, Central, and South Seattle Colleges. Your primary role will be to implement and maintain a district-wide CRM system. This includes system configuration, report generation, creating training aids, and ongoing system maintenance. You’ll be responsible for data entry, tracking communications with inquiries, and coordinating datasets and record management. You’ll also work with other departments to integrate data with other Seattle Colleges systems, including the state student information system and the district’s student success software.

    This role requires you to identify and set best practices, ensuring consistency in system usage, configuration, development, testing, and data integrity. You’ll analyze various issues to determine the best approach and provide day-to-day support and training to Seattle Promise CRM leads as needed.

    This position is funded by the City of Seattle’s Family, Education, Preschool, and Promise Levy, which is fully funded through June 30, 2026, with the possibility of extension if the City’s Education Levy is renewed. This is a full-time, 40-hour per week position, typically working Monday through Friday, 8 AM to 5 PM, and requires 100% on-site work. This role is governed by a collective bargaining agreement with AFT Seattle Professional Staff (SPS), local 6550.

    What You’ll Be Working On:

    Database Management & Integration

    • Develop, maintain, and update the CRM system.
    • Review, map, and analyze business processes and communications, then translate them into system requirements.
    • Perform daily system monitoring to verify the integrity and availability of all software resources, systems, and processes.
    • Proactively anticipate, investigate, and troubleshoot workflow and data integration issues.
    • Identify process improvements and make recommendations.
    • Review analytics and generate various reports.
    • Maintain security profiles, access rights, and roles for users within the application.
    • Collaborate closely with business partners to fully leverage the CRM’s capabilities.
    • Integrate data from other systems to track and report conversions.

    User Support and Training

    • Provide support for user requests and implement best practices across the colleges.
    • Facilitate district-wide training for CRM administrators at each college to ensure effective inquiry capture, tracking, and conversion.
    • Initiate support requests with software/hosting vendors as needed.
    • Develop and document configuration procedures.

    Marginal Job Functions (Additional Responsibilities)

    • Assist with drafting communications within the system.
    • Provide support for district recruitment and marketing efforts as needed.
    • Participate in other initiatives related to recruitment and/or system integration.
    • Participate in other CRM development projects for various key audiences, such as business/community partners and employees.

    What You Bring as a Candidate:

    We’re looking for someone with any equivalent combination of knowledge, skills, abilities, education, and experience, including:

    • A two- or four-year degree plus two years of software application administration experience.
    • Experience using a client relationship management (CRM) software system like Azorus, Salesforce, etc.
    • Technical experience in the administration of cloud-based/SAAS applications.
    • Experience working with databases, including demonstrated ability to design, build, and manage databases and data-driven applications.
    • Experience training users on system functions.
    • Strong problem-solving skills.
    • Excellent interpersonal communication and customer service skills.
    • Strong verbal and written communication skills.
    • Strong time management skills with the ability to prioritize and meet deadlines.
    • Organized with keen attention to detail.
    • Experience working with and building teams.
    • Extensive experience using a client relationship management (CRM) system; experience with Azorus is a plus.
    • Skills in user interface design, HTML, CSS, and JavaScript.
    • Some experience in marketing and communications.
