At University Hospitals Sussex NHS Foundation Trust, we are looking for a highly organised, proactive, and compassionate Elective Admissions Coordinator to join our dedicated team. This is an excellent opportunity for someone with strong administrative and communication skills to contribute to the delivery of outstanding patient care by ensuring timely and efficient booking of elective procedures.

About the Role

In this key administrative role, you will manage elective waiting lists and coordinate pre-operative assessments and surgical admissions. Your focus will be on upholding NHS targets and standards in accordance with the Patient Access Policy.

The role requires independent initiative, attention to detail, and the ability to communicate effectively with patients, clinical staff, and management to support a patient-first service.

Key Responsibilities (First 12 Months)

  • Book pre-operative assessments and schedule elective surgeries based on clinical priority and waiting time targets.

  • Generate and send admission letters including procedure dates, location, and pre-operative instructions.

  • Maintain and update the elective inpatient waiting lists within 24 hours of receiving clinician requests.

  • Handle inbound and outbound telephone calls with patients to confirm pre-operative and surgery dates.

Progression to Band 4 (Post-12 Months, Upon Full Competency)

  • Plan and schedule theatre cases six weeks in advance, considering theatre availability and procedure durations.

  • Maximise use of theatre lists and escalate scheduling conflicts as needed.

  • Apply developed knowledge of surgical pathways and theatre operations to support smooth service delivery.

  • Strong experience in administration, ideally within a healthcare or NHS setting.

  • Proficiency with patient administration systems and Microsoft Office.

  • Excellent verbal and written communication skills.

  • Ability to prioritise tasks and work independently in a fast-paced environment.
