Key Responsibilities
- Event Planning & Execution – Collaborate on the design and execution of high-end experiential activations, ranging from exclusive gatherings to large-scale events, with a focus on sports, entertainment, fashion, art, and lifestyle.
- Operational & Administrative Support – Assist the experiential account team by conducting research, preparing meeting agendas and summaries, tracking event data, managing ticket sales and revenue reports, and maintaining organized supply inventories.
- Creative Development – Work alongside senior management to develop compelling client presentations and pitches, utilizing templates and creating custom materials.
- Document & Collateral Management – Oversee key event documentation, including hospitality decks, transportation spreadsheets, production reports, guest lists, itineraries, invitations, signage, and post-event recaps.
- Vendor & Partner Coordination – Communicate with hotels, transportation providers, venues, staffing agencies, and other partners to ensure flawless event execution.
- Brand Compliance & Marketing Support – Assist in marketing and creative submissions, ensuring all materials align with brand standards and approval guidelines.
- Financial Oversight – Support budget tracking, reconciliation, invoice processing, and expense coding to maintain financial accuracy.
- Client Engagement – Participate in client meetings, conference calls, and on-site event support, ensuring exceptional service delivery.
- Industry Research & Trend Monitoring – Stay informed on industry trends, innovations, and competitor activities to identify new opportunities and areas for improvement.
- Cross-Functional Collaboration – Develop a strong understanding of agency operations and capabilities, effectively leveraging internal resources to drive project success.
Qualifications & Skills
- 1-2+ years of relevant experience (internships included) in event planning, marketing, or hospitality.
- Proficiency in Adobe Photoshop and/or InDesign (Google Slides and Canva knowledge is a plus).
- Strong technical skills, including Mac OS, Microsoft Excel, and PowerPoint.
- Excellent organizational and multitasking abilities, with keen attention to detail.
- Exceptional written and verbal communication skills, projecting confidence and professionalism.
- Problem-solving mindset, able to think creatively and adapt to dynamic situations.
- Passion for events, luxury hospitality, and lifestyle sectors, with an interest in fashion, culture, entertainment, sports, or wellness.
- Availability to travel and work evenings/weekends as needed.
- Conversational proficiency in additional languages is a plus.
Additional Requirements
- Location: Candidates must be based in the New York City or Tri-State area (in-office Monday – Thursday, remote on Fridays).
- Legal Authorization: Must be authorized to work in the United States without sponsorship.
- Client-Facing Role: This position involves direct interaction with high-net-worth individuals and clients, requiring strong hospitality and customer service skills.
