Position Overview

The Account Maintenance Specialist is responsible for managing and maintaining client tax accounts, including state agencies’ rates, EINs, and deposit frequencies. This role ensures seamless client onboarding, accurate tax setup, and high-level customer service, collaborating closely with Tax, Client Services, Implementation, and Finance teams.

Key Responsibilities

  • Process SUI rates, EINs, and frequency exchanges

  • Update account numbers, deposit frequencies, and tax rates

  • Facilitate onboarding of new clients, including verifying data and importing demographic and pay history information

  • Manage tax codes: add, update, or inactivate codes as needed

  • Answer tax code hotline inquiries

  • Participate in User Acceptance Testing (UAT)

  • Maintain and update procedure documentation

  • Complete special projects as assigned by management

  • Perform other related tasks as required

Requirements

  • 1–2 years payroll experience preferred; payroll service bureau experience a plus

  • Experience in high-volume payroll tax departments highly desirable

  • Knowledge of employment tax concepts preferred

  • Proficiency in Microsoft Office, with advanced Excel skills

  • Strong attention to detail, organizational skills, and ability to collaborate across teams
