Position Overview:
We are seeking a detail-oriented and highly organizedAccounts Payable (AP) & AIA Billing Specialist to join our growing commercial roofing team. This role requires expertise in managing accounts payable processes and proficiency in AIA billing for construction projects. The ideal candidate will ensure accurate financial transactions, maintain compliance with industry billing standards, and support smooth project operations.
Key Responsibilities:
AIA Billing:
- Prepare, review, and submit AIA (Application and Certificate for Payment) billing forms (G702/G703).
- Ensure compliance with contract terms, including lien waivers and retainage tracking.
- Maintain accurate records of all billing and payment activities.
Accounts Payable:
- Process vendor invoices and ensure timely payments.
- Reconcile accounts and resolve discrepancies with vendors.
- Manage purchase orders, job costs, and project expenses.
Financial Reporting:
- Generate periodic financial reports for project managers and senior leadership.
- Monitor budgets and project costs to ensure alignment with financial goals.
Compliance & Documentation:
- Ensure all billing documents are compliant with company policies and legal regulations.
- Maintain organized records for audits and financial reviews.
Collaboration:
- Work closely with project managers, estimators, and clients to resolve billing or payment issues.
- Communicate with subcontractors and vendors regarding payment schedules.
Qualifications:
- Experience: Minimum 3-5 years in accounts payable and AIA billing within the construction or roofing industry.
- Skills:
- Proficient in AIA forms and construction billing software.
- Strong knowledge of retainage, lien waivers, and compliance documentation.
- Advanced skills in accounting software (e.g., QuickBooks, Foundation) and Microsoft Excel.
- Attention to Detail: Exceptional accuracy in financial documentation and reporting.
- Communication: Excellent verbal and written communication skills for working with diverse teams and clients.
- Education: Bachelor’s degree in accounting, finance, or related field preferred (or equivalent work experience).
