We are looking for a proactive, articulate, and highly organised Administrator to join our vibrant and dedicated team. Key Responsibilities:

Administrative & Team Support

  • Provide full administrative support to the Team Coordinator, Senior Leadership, and Social Work Team

  • Handle confidential information in line with GDPR and agency protocols

  • Minute meetings (e.g., Fostering Panel, team meetings, carer support meetings) and distribute accurate records promptly

  • Input and manage data across electronic systems including CHARMS, Citation, and ClearCare

  • Maintain digital and paper-based record systems to the highest standard

Training & Event Coordination

  • Manage the training and social events calendar for foster carers and the team

  • Send event notifications, book venues, prepare materials, coordinate catering and record attendance

  • Liaise with training providers and ensure timely issuance of certificates and updates to carer profiles

Panel & Review Preparation

  • Support the coordination of Fostering Panels: upload documentation, notify relevant parties, minute meetings

  • Prepare for annual carer reviews: coordinate schedules, gather and disseminate reports

HR & Recruitment Support

  • Assist with recruitment admin: references, DBS checks, medicals for carers and staff

  • Track completion and compliance via internal systems

Marketing & External Engagement

  • Support marketing efforts including recruitment campaigns and event participation

  • Help create promotional materials and respond to public inquiries

Reception & Facilities

  • Handle telephone and visitor queries professionally

  • Support facilities management and office supply operations

Requirements & Person Specification:

Qualifications

  • Minimum of 2 A-Levels (or equivalent)

  • 5 GCSEs (or equivalent) including English and Maths

Experience

  • Previous admin or customer service experience in a fast-paced environment

  • Proficient in Microsoft Office (Word, Excel) and data entry

  • Previous experience in local authority, social care or fostering (desirable)

Skills & Abilities

  • Excellent written and verbal communication

  • Strong interpersonal and customer service skills

  • Fast, accurate typing and strong IT literacy

  • Highly organised and able to prioritise workloads

  • Analytical mindset with excellent attention to detail

  • Confident minute-taker and multitasker

  • Able to work independently and as part of a team
