Position Summary

We are seeking a proactive and detail-oriented Administrative Assistant & Marketing Coordinator to join our growing team. This hybrid role is ideal for someone who thrives in both organizational and creative environments. The successful candidate will support behind-the-scenes operations while helping to amplify The Portal’s brand presence across digital platforms.

This is a remote, part-time position with room for growth and flexibility. You’ll work closely with leadership and other team members to streamline operations, coordinate events, and engage our online community.

Key Responsibilities

Administrative Support

  • Manage calendars, appointments, and scheduling for internal and external collaborators

  • Organize and maintain digital files, operational documents, and task systems

  • Respond to client inquiries and handle internal correspondence

  • Support logistical planning for events, meetings, and workshops

  • Track expenses, assist with invoicing, and support light bookkeeping

  • Maintain operational workflows and digital tool integrations

Marketing Coordination

  • Assist with social media content creation and scheduling (Instagram, newsletters, blog posts)

  • Coordinate ongoing marketing campaigns, promotions, and digital outreach

  • Monitor and engage with community members on social platforms

  • Help maintain and update website content (event listings, bios, edits, etc.)

  • Track performance analytics (social, email, site) and prepare basic reports

  • Collaborate with creatives, freelancers, and external vendors

Qualifications

  • 2+ years of experience in administrative, marketing, or hybrid roles

  • Strong organizational and communication skills

  • Proficiency in Google Workspace, Canva, Mailchimp, and Instagram

  • Familiarity with project management tools like Notion, Trello, or Asana

  • Strong writing/editing skills and visual storytelling sense

  • Ability to work independently, manage multiple priorities, and meet deadlines

  • Experience in creative, wellness, or community/event-based organizations is a plus

  • Basic graphic design and content scheduling skills are highly desirable
