THE OPPORTUNITY
We have an opportunity for an Administrative Assistant to join our award-winning firm in the Vancouver office.
WHAT YOU’LL DO
This role reports to the Vice President, Odlum Brown Financial Services Limited and works closely with our Financial Planning team. As an Administrative Assistant, you will work in a collaborative environment to help the Vice President and client-facing team members schedule and coordinate meetings and events and assist the Financial Planning team with various administrative tasks.
The ideal candidate is an organized, detail-oriented and proactive team player, with a proven track record of building trusting and productive relationships.
RESPONSIBILITIES
- Schedule and coordinate meetings with clients, advisors and other collaborators
- Attend team meetings and follow-up on action items, commitments and deliverables
- Coordinate logistics for team and firm-wide events such as presentations by internal and external guest speakers
- Manage the submission process for client fact finders and other information supporting financial projections
- Update the tracking system with the status of financial projections and client meetings
- Set-up and organize electronic folders and client files
- Monitor and allocate requests sent to the Financial Planning team’s internal distribution list
KNOWLEDGE AND EXPERIENCE
- Must have a minimum of three years Administrative Assistant experience or capacity in a similar role
- Investment or Financial Services industry is an asset
- Proficiency in managing calendars and scheduling appointments
- Demonstrated ability in coordinating, confirming, and following up on meetings
- Excellent organizational, time management and multitasking skills
- Ability to handle confidential information with discretion
- Excellent written and verbal communication skills
- Proficient in Microsoft 365 (Word, Excel, Outlook)
- Experience with Salesforce or other CRM software is an asset
- Strong problem-solving skills and attention to detail
- Must be proactive and able to work both independently and as part of a team
