Position Overview:

We are seeking a highly organized and motivated Administrative Assistant to support our financial advisor in delivering exceptional service to our clients. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple tasks. This role is pivotal in ensuring the efficiency of our operations and supporting our team in managing client relationships.

Key Responsibilities:

– Administrative Support:

– Provide administrative support to financial advisor, including managing calendar, scheduling appointments, and organizing meetings.

– Prepare and maintain client files and documentation, ensuring accuracy and confidentiality.

– Handle correspondence, including emails, phone calls, and messages from clients and stakeholders.

– Client Interaction:

– Assist in client onboarding processes, including collecting necessary documentation and ensuring compliance with regulatory requirements.

– Respond to client inquiries and provide general information about services, maintaining a professional and courteous demeanor.

– Coordinate and confirm client meetings, follow-ups, and client appreciation events.

– Data Management:

– Input and maintain accurate client data in financial planning and CRM software.

– Prepare financial documents, reports, and presentations for client meetings, ensuring all information is accurate and up-to-date.

– Team Collaboration:

– Support the financial advisor in tracking deadlines and ensuring timely follow-up on client requests.

– Assist in preparing for client reviews and maintaining a smooth workflow within the team.

– Compliance and Record Keeping:

– Ensure compliance with industry regulations and company policies in handling sensitive financial information.

– Assist in the preparation for regulatory audits and internal compliance reviews.

Qualifications:

– Education:

– Associate’s degree in Business Administration, Finance, or related field preferred; relevant experience may be considered in lieu of a degree.

– Willing to train the right person.

– Experience:

– Minimum of 1-3 years of experience in an administrative support role, preferably in the financial services industry.

– Familiarity with financial products, services, and regulatory environments is a plus.

– Skills:

– Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and financial planning software is a plus.

– Strong organizational and time management skills with the ability to prioritize tasks effectively.

– Excellent written and verbal communication skills.

– Attention to detail and ability to maintain confidentiality.
