General Description
Provide administrative support to Lab Department Managers and staff members.
Essential Duties
Audit and route HR forms, prepare expense reimbursements, managing office supplies, schedule meetings and coordinate meeting room requests, maintaining mail area and reroute items as needed, organize and facilitate catered meetings and events.
Provide guidance on company policies and processes.
Serve as backup administrative support to the Executive Assistant and other HRL departments.
Support Foundry Services team with tracking status of Legal, Contracts, Finance, and IT teams
Assist with customer deliverables shipment and inventory updates; monitor and ensure customer engagement progress; support preparation for foundry marketing activities.
Required Skills
The ideal candidate will have 5+ years demonstrated experience in administration, as a coordinator or other relevant job functions. Strong organizational skills are required as the range of department engagements and priorities is wide and may change quickly. Must have exceptional customer service skills and ability to liaise with external customers.
Self-starter with exceptional attention to detail, follow-through and ability to multi-task.
Good verbal and written communication, and interpersonal skills. Must be able to communicate effectively and professionally with focus on customer service for internal customers.
Ability to work independently in a dynamic environment
Ability to change direction, remain flexible and respond quickly.
Experience working with internal organizations, such Facilities, Finance, Legal/Contracts, Procurement, Shipping/Receiving departments.
Experience with event planning
Proficient in Microsoft Office (Outlook, Excel, PowerPoint, Word) and PDF editor
Experience with and/or have ability to learn various enterprise and other customer software systems is required.
Knowledge of office protocols including the ability to interface with a variety of cross-functional personnel, including administrative, support staff and technical experts.
Should have a working knowledge of operations procedures and best practices.
Knowledge of project organization protocols including software.
Ability to research best practices and manage tasks with little to no supervision.
Project management knowledge and training is a plus.
Required Education
5+ years relevant Administrative Assistant, Coordinator, or Customer Service experience.
Physical Requirements
Must have the ability to access all locations of the company property.
This is an on-site position but will consider hybrid support arrangement.
Special Requirements
Able to work flexible hours.

Compensation
The pay range for this position is $29.22 – $35.63 per hour + bonus + benefits.
