DynamicHealth – Musculoskeletal Physiotherapy and Specialist Services is excited to welcome a dedicated Administrator to our growing team. We offer a full-time, one-year fixed-term position, working 37.5 hours per week, Monday to Friday. As an Administrator, you’ll play a crucial role in supporting localities within our unit based at City Care Centre, Peterborough. DynamicHealth provides specialized services across Cambridgeshire and Peterborough for individuals aged 16 and above dealing with muscle, nerve, and joint issues. Main Duties of the Administrator Role

As an Administrator, you will be responsible for managing clinic appointments, handling telephone and face-to-face inquiries, and ensuring the smooth flow of administrative processes using SystmOne. You’ll act as the first point of contact for patients, offering professional, friendly service, and helping to maintain a welcoming reception area that complies with health and safety and infection control standards.

Additional duties include:

  • Booking, canceling, and rescheduling appointments.

  • Accurate data entry of patient referrals.

  • Monitoring waiting lists and ensuring optimal capacity.

  • Handling mail, emails, and documents with attention to detail.

  • Assisting the B2 task group with various administrative tasks.

  • Managing interpreter bookings and supporting complaint handling under the Complaints Policy.

Essential Skills and Requirements for an Administrator

Qualifications:

  • GCSEs at Grade C or above in Maths and English (or equivalent).

  • Computer skills qualification or equivalent experience.

  • Business & Admin NVQ (desirable).

Experience:

  • Proven office administration experience.

  • Ability to prioritize tasks independently and work to deadlines.

  • Knowledge of Microsoft Word, Outlook, and customer service practices.

  • Experience with SystmOne (desirable).

  • Previous work in healthcare administration (desirable).

Administrator Role: Additional Responsibilities

  • Collaborate with colleagues to enhance patient pathways.

  • Raise service tickets for building maintenance issues.

  • Support ordering and stock management via Oracle.

  • Prioritize your workload to meet tight deadlines independently.

  • Handle inquiries from GPs, patients, and healthcare professionals with professionalism and care.

  • Escalate issues promptly to your line manager and record incidents accurately through Datix.
