Responsibilities and Requirements

Core Duties:

  • Accurately process all aspects of the accounts payable function, including obtaining necessary approvals for non-purchasing invoices and entering/coding them in SAP according to company policies and deadlines.

  • Investigate and resolve discrepancies or errors prior to invoice processing.

  • Communicate with vendors to address payment inquiries and resolve issues via phone and email.

  • Schedule and execute weekly payment runs (check and ACH), ensuring timely disbursement of vendor payments and internal requests. Monitor early payment discounts and submit payment files to the bank.

  • Support the controlling team in Germany by sharing daily banking activity and a weekly Excel summary for reconciliation purposes.

  • Reconcile and post monthly American Express transactions.

  • Digitally scan and attach all relevant documents to SAP transactions.

  • Maintain and organize accounts payable files and manage the AP email inbox.

  • Verify and enter vendor banking details into SAP, ensuring security and accuracy.

  • Assist in maintaining the vendor master file, collecting required IRS forms such as W-9s and other pertinent documentation.

  • Monitor the daily operating checking account, saving and routing debit and credit transactions for bookkeeping and revenue accounting purposes.

Additional Duties:

  • Contribute to annual financial audit preparation.

  • Assist with miscellaneous accounting tasks as needed.

  • Adhere to the RWMIC Quality Manual, regulatory standards, and job-specific compliance requirements.

  • Complete all required quality and compliance training on schedule.

  • Perform other tasks as assigned by the Accounting Manager.

  • Serve as a partial backup to the Accounts Payable Specialist II.


Qualifications:

  • Associate’s degree in Accounting or Finance preferred.

  • Minimum of 2 years of relevant accounting experience.

  • Strong knowledge of A/P processes, policies, and regulatory compliance.

  • Understanding of general ledger functions and solid bookkeeping skills.

  • Exceptional attention to detail and high level of accuracy.

  • Ability to manage sensitive information with confidentiality.

  • Analytical mindset with strong problem-solving capabilities.

  • Effective written and verbal communication skills.

  • Strong time management, prioritization, and organizational abilities.

  • Experience with SAP is preferred.

  • Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.

  • Comfortable working in a diverse, multicultural, and multi-generational environment.

Physical Requirements:

  • Ability to sit, stand, and walk up to 8 hours per day.
