Position Overview:

Active Life ADHC LLC is seeking a Bilingual Office Assistant to support both administrative and field operations in our care-focused environment. This role is essential to daily coordination of services, caregiver communication, and ensuring compliance across departments. The ideal candidate is highly organized, tech-savvy, and fluent in English and another language (Spanish preferred).

Key Responsibilities:

Administrative & Clerical

  • Answer calls, route inquiries, and take messages professionally

  • Maintain accurate and organized client charts

  • Monitor and manage the Electronic Visit Verification (EVV) system

  • Perform data entry, Excel spreadsheet tracking, and manage office organization

Program & Field Support

  • Conduct quality assurance calls with clients to ensure satisfaction and prevent fraud

  • Assist with caregiver scheduling and payroll support

  • Support new hire orientation for in-home caregiver staff

  • Attend team meetings and host bi-annual caregiver conferences

Compliance & Communication

  • Ensure HIPAA compliance and follow all internal policies

  • Respond to department emails regularly (at least once every 24 hours)

  • Serve as liaison for caregivers and other departments

  • Engage clients when plans of care change and communicate updates

Required Qualifications:

Skills & Experience

  • Minimum 1 year of office experience

  • Strong Excel and Microsoft Word skills

  • Experience with data entry and administrative support

  • Excellent organizational and customer service skills

  • Comfortable multitasking in a fast-paced, client-centered environment

  • Experience working with seniors or individuals with special needs is a plus

Language Skills

  • Proficiency in English and at least one additional language (Required)

  • Strong verbal and written communication skills

Other Requirements

  • Must pass a background check, drug screen, TB test, and provide references

  • Valid driver’s license, reliable transportation, and auto insurance required

  • Willingness to commute or relocate to Bowling Green, KY before starting

Certifications (Required or willing to obtain upon hiring):

  • First Aid

  • CPR

  • DAIL training

  • Annual PPD test or TB screening
