Job Summary

An exciting opportunity has arisen for an enthusiastic and detail-oriented Administrative Assistant to join the friendly and motivated team at the Chichester Child Development Centre. You will play a key role in supporting the administrative functions of the centre, helping to deliver high-quality healthcare services to children in the community.

Reporting to the Centre Coordinator, your work will include managing referrals, liaising with health professionals, handling correspondence, booking clinics, and supporting reception services when required. This role is essential to the smooth operation of the centre and to ensuring patients and families receive timely and coordinated care.

Key Responsibilities

  • Provide administrative support for the Child Development Centre, including photocopying, scanning, filing, and distributing documents

  • Use SystmOne to manage referrals, book appointments, input data, and maintain accurate patient records (training provided)

  • Liaise with internal teams, clinical staff, patients, and external partners with professionalism and discretion

  • Respond to calls and emails with sensitivity, tact, and clarity

  • Maintain supplies and order office materials and clinical equipment using the Oracle system

  • Support reception services during staff absence, offering a professional and welcoming front-of-house presence

  • Produce and proofread correspondence and reports using Microsoft Office

  • Assist in organising multi-disciplinary assessments and joint clinic appointments

  • Take and transcribe minutes at meetings

  • Support audit, service improvement, and reporting by collating and presenting data

  • Uphold confidentiality, escalate issues when necessary, and contribute to team development

Candidate Requirements

  • Previous administrative experience, preferably in a healthcare setting

  • Confident using Microsoft Office and digital systems (experience with SystmOne or Oracle is an advantage)

  • Excellent communication, organisation, and prioritisation skills

  • Ability to work independently and as part of a team

  • Commitment to upholding patient confidentiality and safeguarding policies
