Responsibilities

Daily Operations

  • Oversees and prioritizes daily workloads for front- and back-office staff, including task assignments, workflow management, and problem-solving.
  • Creates staff schedules, ensuring coverage for vacations and sick days; requests resource pool staff as needed.
  • Manages revenue cycle processes, including end-of-day procedures, bank deposits, denial resolutions, point-of-service collections, and accurate charge capture.
  • Leads customer service initiatives by setting an example and monitoring progress.
  • Monitors pools and in-baskets, ensuring staff adhere to LMG standards.
  • May be assigned responsibility for the POCT process, as determined by management.
  • Oversees EPIC templates and scheduling processes.
  • Prepares reports on access, session tracking, and contact hours.
  • Facilitates effective communication between staff, providers, and management.
  • Collaborates with departments and customers for problem-solving and project management.
  • Acts as the primary contact for vendors and contract services.
  • Ensures compliance with legal appointment protocols.
  • Manages medical records processes, ensuring HIPAA compliance.
  • Oversees purchasing and supply maintenance for both clinical and non-clinical needs.
  • Handles building maintenance concerns and resolves issues as they arise.
  • Resident Clinics Only: Coordinates activities with the Department of Medicine.
  • Addresses patient and provider concerns, including behavior, complaints, and care-related issues, in collaboration with the Clinic Manager and/or patient relations.

Performance Management

  • Guides staff in achieving LMG and Legacy Health’s strategic goals.
  • Assists the clinic manager in meeting budgeted productivity targets by managing labor distribution, patient access, and provider schedules.
  • Holds staff accountable to LMG quality and safety standards, including infection control, Joint Commission readiness, and adherence to a “Just Culture.”
  • Collaborates with management to develop processes that support quality care and enhance patient satisfaction.
  • Helps establish a safe and engaging work environment that fosters high performance.
  • Adopts Lean Culture principles to support the financial integrity of LMG while prioritizing patient needs.

Human Resources

  • Conducts and/or assists with performance evaluations.
  • Resolves employee concerns in partnership with the Clinic Manager.
  • Identifies performance issues and initiates appropriate counseling, notifying the Clinic Manager as needed.
  • Assesses staff training needs, organizes educational sessions, and assigns E+ modules.
  • Screens applications, coordinates interviews, and participates in hiring decisions.
  • Plans and facilitates meetings, workgroups, and task forces.
  • Manages all aspects of performance management, including staff development, coaching, documentation, and corrective actions.
  • Assists with the development and implementation of new and existing policies and procedures.
  • Ensures timely payroll processing and adjustments.
  • Oversees onboarding, orientation, and training for new staff.
  • Monitors provider credentialing requirements.

Qualifications

Education & Experience

  • Associate degree or equivalent experience required.
  • Minimum of three years of progressively responsible healthcare experience.
  • Experience with electronic scheduling and EMR systems required.
  • Lead or supervisory experience preferred.
  • Depending on clinic assignment, a background in Certified Medical Assisting may be strongly preferred.

  • Strong keyboarding and electronic system navigation skills relevant to job functions.
