Key Responsibilities of a Customer Service Coordinator

  • Customer Interaction: Monitor and respond to emails and phone inquiries efficiently. Log all customer interactions to maintain detailed records for tracking and reporting.
  • Issue Resolution: Oversee customer concerns, ensuring accurate updates and effective resolutions within set timeframes.
  • Scheduling & Coordination: Organize and manage the diaries of Customer Service Operatives, ensuring timely and efficient handling of all service requests.
  • Resource Allocation: Ensure necessary materials and resources are available before scheduling remedial work.
  • Contractor & Team Management: Assign tasks to contractors and internal teams while tracking their progress. Report any unsatisfactory contractor outcomes to the Customer Service Manager.
  • Complaint Handling: Maintain complaint logs, acknowledge customer concerns within agreed timeframes, and follow up to ensure issues are fully resolved.
  • Reporting & Data Analysis: Maintain spreadsheets and provide weekly reports on customer service operations.
  • Compliance & Documentation: Ensure all surveys, external reports, and contractor records are up-to-date.

What We’re Looking for in a Customer Service Coordinator

  • Prior experience in a Customer Service Coordinator role, preferably in the housebuilding industry.
  • Excellent organizational and multitasking skills.
  • Strong verbal and written communication skills.
