Job Summary
Guild Hall of East Hampton seeks a detail-oriented and organized Data Entry Specialist – Philanthropy to support the development team. This role is critical to maintaining accurate donor and patron records in our fundraising CRM database and ensuring the integrity and effectiveness of our data systems. You will play a vital role in gift processing, data quality control, and supporting internal reporting functions.
Key Responsibilities

Data Entry & Gift Processing: Enter and update donor records, batch/process gifts, and generate acknowledgment letters and receipts

Data Maintenance: Regularly audit and clean CRM data to ensure consistency and accuracy

Database Management: Support data imports/exports and maintain integration between systems while adhering to internal standards

Reporting & Support: Generate timely, accurate reports and maintain confidentiality and compliance with data protection regulations
Qualifications

Proven experience in data entry and CRM/database management (experience with Raiser’s Edge and Spektrix strongly preferred)

High level of accuracy and attention to detail

Strong organizational and time-management skills

Proficiency in Microsoft Office Suite, especially Excel

Clear written and verbal communication skills; discretion with sensitive donor data
Preferred Qualifications

Experience working in a nonprofit, arts, or cultural organization

Familiarity with donor engagement and stewardship practices

Understanding of basic financial reporting and CRM system integrations
