Job Purpose: We are seeking a highly organised and detail-oriented Document Controller to join our Facilities and Infrastructure team. This role involves managing, overseeing, and maintaining project documentation to ensure compliance with company and industry standards. You will support the Project Management Office (PMO) and work closely with stakeholders, contractors, and engineers to ensure document control throughout the project lifecycle.

Key Responsibilities:

  • Manage, control, and distribute company and project documentation, ensuring accuracy and compliance with industry standards.
  • Maintain document control procedures and continuously improve them.
  • Ensure all project documents are correctly saved, filed, and shared with stakeholders.
  • Support the preparation of pre-construction information, health and safety files, and O&M Manuals.
  • Manage and review Risk Assessment and Method Statements (RAMs) for contractors.
  • Coordinate document sharing with external suppliers and contractors, ensuring the latest information is available.
  • Conduct regular document audits and maintain document integrity.
  • Capture, compile, and distribute meeting minutes.
  • Ensure timely release of Request for Information (RFI) documents, maintaining clear communication between stakeholders.
  • Provide general administration support to the Facilities and Infrastructure team.

Requirements:

  • Proven experience in document control within the construction or building services industry.
  • Strong knowledge of MS Office Suite (Excel, Word, Outlook, SharePoint).
  • Familiarity with CDM regulations, construction processes, RIBA stages, and British standards.
  • Strong attention to detail and organisational skills.
  • Effective communication and problem-solving abilities.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Proficiency in minute-taking and document coordination.
