About the Job
The City of Midvale is seeking a proactive and creative Event Coordinator to support the Redevelopment Agency (RDA) in planning, organizing, and executing community events, festivals, and programs. Under the direction of the Redevelopment Director, this role helps enhance economic development, community engagement, and quality of life through memorable events.

Positions Supervised: None (Oversees volunteers)


Key Responsibilities

  • Plan, organize, and manage city and RDA events such as Los Muros On Main Mural Festival, Harvest Days, Trick or Treat on Main Street, and Light Up Main.

  • Oversee logistics including budgeting, scheduling, contracts, advertising, staffing, and volunteer coordination.

  • Manage event setup, operations, and take-down.

  • Handle technical and administrative needs such as permits, security, parking, purchasing, and vendor contracts.

  • Work closely with city departments including Parks, Public Works, Police, and Fire to ensure smooth event execution.

  • Recruit sponsors and community partners to support events and enhance participation.

  • Collaborate with outside agencies, organizations, and citizen groups to strengthen community involvement.

  • Monitor event budgets, track expenses, and ensure cost recovery goals are met.

  • Manage event registration, participation, and reporting through software tools.

  • Conduct evaluations and provide reports to management after each event.


Additional Functions

  • Maintain flexible availability to cover city needs, including evenings, weekends, and special events.

  • Ensure public accessibility and professional communication with residents, developers, and organizations.

  • Participate in a 10-hour, 4-day work week schedule, providing city services until 6:00 p.m.

  • Attend and oversee events outside regular office hours as required.


Minimum Qualifications

Education & Experience

  • Bachelor’s degree in Event Planning, Recreation Management, Communications, Public Relations, or a related field.

  • 2–3 years of event planning or related experience (or equivalent combination of education and experience).

Special Qualifications

  • Valid Utah State driver’s license (with verification).

Knowledge, Skills & Abilities

  • Expertise in event planning, community engagement, and budget management.

  • Strong organizational, communication, and problem-solving skills.

  • Proficiency in Microsoft Office and event management software.

  • Ability to work with diverse groups, resolve conflicts, and lead volunteers.

  • Capacity to plan, market, and implement events suited to community needs.


Working Conditions

  • Combination of office and on-site event management.

  • Requires physical activities such as walking, standing, lifting, and event setup.

  • Frequent local travel and occasional exposure to outdoor weather conditions.

  • Non-traditional hours, including evenings and weekends.
