The United States Space Force (USSF) at Vandenberg Space Force Base is searching for an Executive Assistant for the 1 DOS (NH-0301-02, GS-5-11 equivalent). Description: Administers and implements the units Task Management Tool (TMT) and provides administrative support and trip planning to the Commander. As the primary TMT administrator, works with unit staff representatives to ensure efficient operations to support business requirements. Performs content and editorial review of all outgoing correspondence and other material submitted for signature by the Commander. Receives and screens all publications, regulations, and directives directed to the Commander and brings to the Commander’s attention those elements affecting the supervisor’s area of responsibility. Manages all administrative support program functions and serves as the resident subject matter expert for all mandated administrative support programs. Serves as the organizational point of contact and liaison with the installation Military Personnel Flight and Civilian Personnel Flight on personnel issues. Stays abreast of current personnel issues and provides explanations of personnel‐related requirements, regulations, and procedures to supervisors and managers. Determines the necessary steps to perform the full range of administrative functions associated with personnel assignments, promotions, and performance evaluations. Ideal Candidate: The ideal candidate for this position will bring their expertise and experience in performing as an organization’s executive assistant. Knowledge of processes and procedures related to program management to execute projects within established financial and time constraints will be beneficial. Ability to encourage new ideas and innovations; manage human, financial and information resources strategically and build coalitions to achieve common goals. Skill in working with customers to assess needs, provide assistance, resolve problems, and satisfy expectations. Able to develop and maintain effective relationships and to communicate effectively, both orally and in writing; identify problems and use sound judgment and decisions to generate and evaluate alternatives and make recommendations. The willingness to organize work, set priorities, and determine resource requirements; determine goals and strategies to achieve them. There are no educational requirements for this position, but a higher education is always a plus. Key Skills and Abilities: 1. Knowledge of processes and procedures related to program management and strategic planning activities needed to execute projects and/or studies within established financial and time constraints. 2. Ability to encourage new ideas and innovations; manage human, financial and information resources strategically and build coalitions to achieve common goals. 3. Skill in working with customers to assess needs, provide assistance, resolve problems, and satisfy expectations. 4. Ability to persuade others to accept recommendations, work toward an agreement, and negotiate mutually acceptable solutions. 5. Ability to develop and maintain effective relationships and to communicate effectively, both orally and in writing; identify problems and use sound judgment and decisions to generate and evaluate alternatives and make recommendations. 6. Ability to organize work, set priorities, and determine resource requirements; determine goals and strategies to achieve them; coordinate with other organizations; monitor progress, and evaluate outcomes. Requirements: 1. Must be a U.S Citizen. 2. PCS / relocation funding is not available. 3. Must be able to obtain and maintain a Secret security clearance. 4. Required to handle and safeguard sensitive and classified information in accordance with regulations to reduce potential compromise. 5. May be required travel away from the normal duty station on military or commercial aircraft. 6. May be required to work overtime on an unscheduled or emergency basis. 7. This position is eligible for telework 2-4 days a pay period. 8. This position will close after 5 business days or 75 applications. 9. Subject to TDY 15 days a pay period.
