Are you looking for an exciting opportunity to support high-level executives in a fast-paced, creative environment? We are seeking an Executive Assistant to work out of our vibrant New York office, offering the chance to work closely with the CEO, Partner, and the Director of Operations. This is a unique role where you’ll be at the heart of an innovative agency, contributing to various departments and collaborating across four global locations.

What You’ll Do:

  • Calendar and Travel Management: Be the right-hand to our CEO and Partner by managing their daily schedules, travel arrangements, and ensuring everything runs smoothly.
  • Event Coordination: Take charge of organizing meetings, coordinating with multiple departments, and ensuring all logistics are covered, including catering and venue arrangements.
  • Global Coordination: Help maintain the agency’s global activity calendar across our offices in NYC, London, Paris, and California.
  • Financial and Budget Support: Manage expense reports, coordinate travel bookings, and assist in managing budgets for media relations events, all in alignment with finance protocols.
  • Communication: Act as a central hub for internal communications, training new employees, and liaising between departments and offices to ensure seamless operations.
  • General Administration: Maintain important organizational documents, manage subscriptions, and help out with office projects when needed.

Who You Are:

  • Experience: A Bachelor’s degree and a minimum of 5 years supporting senior-level executives with administrative duties.
  • Industry Knowledge: A passion for the fashion and lifestyle industries, with an understanding of current trends and industry news.
  • Proactive and Detail-Oriented: Able to manage multiple tasks with precision, think ahead, and anticipate the needs of the team.
  • Skilled Communicator: Strong verbal and written communication skills are a must—clear, concise, and confident.
  • Tech-Savvy: Proficient in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint), Adobe, and collaboration tools like SharePoint.
