About the Team
UK Lending, part of UK Commercial Banking, supports colleagues in distributing financial products designed to meet the needs of customers ranging from SMEs to large corporates. HEF (HSBC Equipment Finance) is a key HSBC subsidiary providing a dynamic, growing product proposition across multiple asset classes and markets, supporting both CMB and CIB clients.

Role Overview
We’re seeking an experienced Executive Assistant to support two Managing Directors in a job-share arrangement (each 0.6 FTE). You will collaborate closely with your job-share partner, overlapping one day weekly to ensure seamless diary and workload coverage.

Key Responsibilities

  • Proactively manage complex and changing diaries, scheduling meetings efficiently

  • Provide ad hoc administrative support to senior leadership and wider team (e.g., invoices, procurement, onboarding)

  • Compile and maintain team reporting, including Quarterly Business Reviews and weekly updates

  • Plan leadership and team meetings; prepare minutes and track follow-up actions

  • Maintain document management and record administration systems

  • Act as the primary contact and gatekeeper between senior management and internal/external stakeholders

  • Organise travel and accommodation promptly and in compliance with HSBC policies, including expense submissions

What We’re Looking For

  • Proven experience in executive assistant roles supporting senior leaders

  • Exceptional organisational skills with the ability to multitask and reprioritise at short notice

  • Strong verbal and written communication skills for frequent stakeholder interaction

  • Experience managing internal and external relationships with a flexible, collaborative approach

  • Confident, proactive, and methodical, able to work under pressure and meet tight deadlines

  • Solid understanding of operational risk standards and HSBC policies, with ability to report breaches appropriately

  • Awareness of HSBC’s strategy, financial crime risk, and AB&C/Gift & Hospitality policies
