Role Summary
We are hiring an Executive Assistant (EA) to support Coco’s C-suite and executive leadership team. In this pivotal, in-office role, you will manage complex calendars, coordinate multi-city travel, prepare client-ready materials, and drive special projects that impact the entire company. You will be a proactive problem-solver, trusted advisor, and organizational backbone helping our leadership stay focused on strategic priorities as Coco continues to grow.

Key Responsibilities

Calendar & Communication Management: Handle dynamic, high-volume scheduling and inbox management for multiple senior executives using sound judgment and prioritization.

Meeting & Presentation Preparation: Draft agendas, compile briefing materials, and create clean, executive-ready slide decks for internal and external meetings.

Travel & Event Planning: Organize complex domestic and international travel; manage logistics for executive off-sites, conferences, and key partner events.

Confidential Information Handling: Manage sensitive company data including financials, HR info, and strategy documents with the utmost discretion.

Office Culture Support: Collaborate with People & Workplace teams on recognition programs, cultural events, and team-building initiatives.

Executives consistently spend 70%+ of their time on strategic work instead of reactive scheduling issues.

All high-priority meetings are fully prepared 24 hours in advance with no last-minute surprises.

Administrative and operational requests receive same-day responses, boosting team productivity and satisfaction.
Requirements

2+ years of experience supporting VP-level or C-suite leaders in a fast-moving business environment.

Proficiency in Google Workspace, Slack, Google Meet, and tools like Superhuman, Notion, and other modern EA software.

Proactive, organized, and action-oriented with the ability to work independently.

Excellent written and verbal communication skills with attention to detail.

High level of discretion when handling confidential information.

Comfortable working full-time in an office-based setting.
Preferred Qualifications

Previous experience working at a tech company or startup
