Executive Assistant/Office Administrator

Job Summary

We are seeking a highly organized and detail-oriented Executive Administrative Assistant to support our executive team. The ideal candidate will demonstrate strong communication skills, multitasking ability, and a proactive approach to problem-solving. You will play a vital role in ensuring efficient office operations and exceptional customer service by managing executive schedules, handling communications, and overseeing various administrative duties.

Key Duties

  • Manage executive calendars, schedule appointments, and coordinate meetings

  • Provide responsive and professional customer support

  • Perform accurate data entry to maintain updated records

  • Prepare reports, presentations, and other documentation as needed

  • Answer and direct incoming calls through phone systems

  • Greet clients and manage reception tasks when necessary

  • Maintain organized digital and physical filing systems

  • Draft and distribute weekly/monthly global communications

  • Schedule tours and prepare informational packets per location

  • Collaborate with internal teams to ensure smooth workflows

Requirements

  • Strong organizational and prioritization skills (a must)

  • Experience in customer service or support roles

  • Familiarity with receptionist duties (preferred, not required)

  • High-level proficiency in MS Word and Excel

  • Experience as an administrative clerk or in a similar role

  • Excellent phone etiquette and professional communication skills

  • Ability to manage multiple calendars and coordinate logistics

  • Tech-savvy with strong proficiency in Microsoft Office Suite

  • Attention to detail and ability to manage multiple tasks simultaneously
