APX is hiring a Controller for our customer, a prestigious education institution in Buffalo, NY. This key role provides accounting, budgeting, financial analysis, management reporting, treasury and internal auditing services with a breakdown of specific functions to include:
I. Financial Management
- Manage Accounts Payable, Accounts Receivable functions and personnel
- Manage relationships with bankers, auditors and funding sources
- Manage daily cash flow and monthly cash forecasts
- Analyze financial accounts and information to ensure accurate recording.
- Entry of new and correcting journal entries and payroll journal.
- Enter cash receipts for tuition, gifts, and miscellaneous income.
- Review invoices and sign checks weekly.
- Prepare monthly internal financial statements.
- Prepare monthly bank reconciliation for operating and short-term cash management accounts.
- Prepare year-end closing entries such as inventory, prepaids, plant funds, restricted funds, endowment funds.
- Responsible for hiring, training, development and disciplinary duties of the business office
- Monitor departmental budget compliance and assist department heads to adhere to budgetary guidelines.
- Communicate business office policies to employees and ensure compliance with policies.
- Develop and recommend new business office policies to CFO.
- Understand and ensure compliance to new accounting laws and regulations.
II. Fund Accounting
Restricted Funds
- Record gifts, match to expenses, maintain deferred accounts, balance funds as needed.
Plant Funds
- Maintain plant reserve analysis, asset purchases, retirements, copy invoices for auditors and for files.
Fixed Asset System
- Maintain fixed asset system which records and tracks information about all land, buildings, and equipment.
- Use system for property control and for depreciation expense.
- Reconcile fixed asset system to the general ledger.
Endowment Funds
- Record gifts in general ledger and transfer funds to short term investment vehicle.
- Record investment fund activity and reconcile to general ledger.
- Perform quarterly endowment calculation to calculate each named fund’s market value.
- Perform quarterly spending calculation to calculate the following year’s endowment draw.
- Perform annual calculation to allocate portfolio performance to each named fund.
- Track spending of endowment draw by fund.
Capital Campaign Analysis
- Record all campaign gifts and expenses in the general ledger.
- Reconcile general ledger to development reports.
- Prepare and maintain reports to monitor the progress of the capital campaign.
III. Tax Preparation
- Prepare Federal Form 990 – Federal Income Tax return.
- Prepare CHAR 500 – New York State Charities Registration Report.
- Review quarterly payroll tax reports and their reconciliation to the general ledger.
- Prepare and file the quarterly New York State Sales Tax report.
IV. Annual Audit
- Prepare trial balance, lead schedules and audit workpapers used by auditors.
- Review and send information to actuaries for FAS 158 calculation for Post Retirement Benefit Obligation.
- Assist the auditors during the audit.
- Prepare draft of financial statements and footnotes.
V. Miscellaneous
- Prepare the New York State Mandated Services Report.
- Prepare the NAIS Financial Operations Report.
- Year-end financial information as requested by development for annual giving reports.

SKILLS AND QUALIFICATIONS:
- BS, Accounting; preference for a CPA or MBA with 5 years non-profit experience
- Notary Public, State of New York helpful
- Ability to work independently
- Ability to work on multiple projects simultaneously
- Proficient in Microsoft Office software, especially Excel
- Ability to project a professional, friendly and positive attitude
- Advanced analytical, communications and presentation skills
- Ability to maintain confidential information.
