Main Purpose of the Role
To proactively ensure the safety, security, and cleanliness of both public and back-of-house areas on site, protecting property, tenants, staff, and visitors. This position also includes front desk responsibilities and supports the smooth day-to-day operations of the building while delivering excellent customer service.
Key Responsibilities
Reception & Front Desk Duties

Greet all visitors in a friendly and professional manner

Answer phone calls, respond to enquiries, and take messages

Log visitors, deliveries, and contractors using the visitor book or digital systems
-
Provide general support to management and visitors
Site & Facilities Management
-
Perform daily inspections of entrances, landscaped areas, and car parks
-
Report maintenance, safety, and cleanliness issues promptly to management
-
Monitor and maintain high standards of cleanliness and presentation across the site
-
Distribute tenant newsletters and other communication
-
Assist with tenant viewings alongside agents
Security & Safety
-
Prevent, detect, and investigate disturbances, unauthorised access, and property damage
-
Ensure security of doors, gates, and restricted areas
-
Accurately report incidents and unusual occurrences
-
Respond promptly to emergencies; liaise with police, fire, and ambulance services
-
Control access and egress of visitors, contractors, and deliveries
-
Manage lost property and follow site procedures
-
Test fire alarm systems and activate call points as required
General Duties

Change posters/signage as needed

Ensure tenants and visitors park in assigned spaces

Maintain strong, positive relationships with tenants and support the site team

Follow strict confidentiality protocols relating to tenants and site activity

Undertake other tasks as assigned by management
Skills & Requirements

Basic IT proficiency
-
Working knowledge of fast-paced office or retail environments

Fluent spoken and written English

Excellent observation skills and ability to write accurate reports

Strong awareness of Health & Safety procedures

Fire Marshal trained (preferred)

First Aid trained (preferred)
