Job Summary
As a key member of our front-desk team, the Receptionist will welcome and assist patients in accessing healthcare services efficiently and courteously. This role involves providing general administrative support, managing appointments, and maintaining a professional and friendly atmosphere at all times—both in person and over the phone.
Key Responsibilities
Reception and Patient Support

Provide a welcoming and effective reception service to all patients and visitors.

Respond to general enquiries, explain procedures, and schedule new and follow-up appointments.

Use sound judgment and communication skills to prioritize patients needing urgent care without an appointment.

Stay aware of patients in the waiting area and maintain awareness of your surroundings.

Know which doctors and nurses are present in the building and whether they have arrived for their clinics.

Monitor clinics running behind schedule, inform waiting patients, and offer apologies as necessary.
New Patient Registration

Explain registration and practice arrangements to new and temporary patients.

Ensure that new patient information is accurately entered into the system on the same day they register.
Telephone and Communication

Receive and make telephone calls as required.

Take and deliver accurate messages promptly and appropriately.

Inform patients about charges for private (non-NHS) services, collect payments, and issue receipts.
System Use and Administrative Tasks

Record home visit requests accurately in the EMIS system and escalate to the Duty Doctor if needed.

Participate daily in managing tasks through Docman and ensure all task lists remain current.

Input patient data and other essential information into the system promptly and accurately.
General Duties

Maintain a clean, tidy, and organized reception area.

Provide a professional and detailed handover to the next staff member before finishing your shift.

Perform any other duties as reasonably requested by the Partners or the Practice Manager.
