Position Description:
The Home Office receptionist is on the front lines in making ICEF a great place to work by providing a wide variety of routine administrative services, welcoming visitors, answering phone calls and other correspondence, and supporting with the completion of other everyday essential tasks.
Reporting:
This position reports to the Managing Director of People and Operations.
FLSA Status: Non-Exempt
Pay Cycle: 12 months
Salary: $20-25/hour – Commensurate with Experience

Essential Functions:
Host visitors by greeting them, in person or on the telephone; answering, screening and referring inquiries
Sorting and distributing the mail daily, including stamping and distributing to all schools and departments as needed
Assisting with scheduling home office and school site meetings at the Home Office, including rooms, equipment, food orders, etc
Anticipating materials needed, then ordering, receiving, storing, and maintaining office supplies for the Home Office
Manages the stamp postage accounts and Fedex Accounts
Assists with Purchase Order processing, credit card purchases, and tracking
Assists Executive Team with projects, reports, and other tasks as assigned
Performs clerical duties such as filing, photocopying, collating, and distributing
Makes phone calls and completes tasks as assigned
Schedules meetings and communicates the invitation to planned meetings
Participates in office meetings as requested and takes minutes of the meetings
Managing the home office calendar and notifying all home office staff about event schedules and space reservations
Job Requirements: Minimum Qualifications:
EDUCATION And/or EXPERIENCE
Must understand and live out ICEF Core Values
High school diploma or equivalent and or any combination of education and experience that could likely provide the required knowledge and abilities would be qualifying
Excellent telephone manners, customer service and interpersonal skills
Must have basic math skills (add, subtract, multiply, divide, percentages, etc.)
Proficient Computer Skills in MS Word, Excel, and able to use of the internet (highly desired)
Must have excellent prioritization and time management skills
Ability to write and speak with a command of Standard English Language Conventions
Ability to respond promptly to customer needs
Ability to read and comprehend simple instruction
Ability to provide superior customer service to a diverse population of employees and families
Ability to fluently speak, write and translate Spanish language
Ability to maintain emotional control under difficult situation
Ability to work indoors with mild to moderate levels of noise
Provide documentation of eligibility to work in US, pass a DOJ background check, and provide proof of recent TB clearance
Candidate must have a valid California Driver’s License and reliable means of transportation
Supervisory Responsibilities
This position has no direct supervisory responsibilities.
