ADGA is currently looking for an Administrative Support to join our team and assist in the performance of general administrative duties such as the completion and tracking of HR documents and files and assist with financial reports and returns as needed.
Tasks include, but not limited to:
- Use of MS Office including but not limited to MS Word, Excel and PowerPoint.
- Provide administrative support to various sub-sections, under the direction of our client in a 2nd in command (2iC) and section head. (DND directorate)
- Prepare documentation and correspondence to support administrative functions such as HR, finance and daily administrative tasks.
- Support the production of briefings and related materials under the direction of these sub-sections.
- Perform document and file management functions that will include – e-filings. Must be familiar with filing systems and databases.
- Support the tracking of monthly and yearly budgets. Prepare budget returns as necessary under the direction of the DND client.
- Enter and process data in databases and spreadsheets using provided formats and processes.
- Other duties as needed.
Qualifications
- Must hold a valid Secret level 2 clearance and apply for the Controlled Goods Certificate. (ADGA will initiate)
- Must be able to provide proof of a Secondary School Diploma (it would be an asset to have a College Diploma in Business Administration or similar program)
- At least 24 months (2 years) of demonstrated experience in each of the assessment areas:
- Developing briefing notes and presentations to address administration issues.
- Consulting with stakeholders to support administration requirements for the organization.
- Providing advice, guidance, and recommendations on administration issues to support the decision making of senior management.
- At least 36 months (3 years) of demonstrated experience within the last 60 months (5 years) in the preparation of technical concept documents, system specifications, and technical proposals in the field of information technology, information management or engineering.
- At least 36 months (3 years) of demonstrated experience in the last 60 months (5 years) in a minimum of 4 of this assessment area’s criteria below:
- Using MS Office Suite (Word, Excel, Access, Outlook, and PowerPoint)
- Providing Administrative assistance, including building pass preparation, filing and project documentation control.
- Processing travel including car rental, accommodation and flight booking.
- Performing cost accounting such as tracking of project expenses including travel budgets, claims and verification of invoices.
- Performing work accounting functions including time tracking, timesheet verification, report generation and database updating.
