Responsibilities
Project Coordination

Coordinate schedules, meetings, and documentation between internal teams, architects, contractors, and vendors.

Track project timelines and deliverables, ensuring alignment across all parties.

Maintain and update project trackers (FF&E, procurement schedules, install calendars).
Administrative & Procurement Support

Assist with FF&E procurement (furniture, lighting, materials, finishes, signage).

Collect vendor quotes, manage purchase orders, and follow up on shipments.

Organize procurement documentation and digital asset libraries.
Facilities & Maintenance Support

Submit and track tickets for general maintenance at existing locations.

Liaise with operations staff and vendors to resolve minor facility issues.
Cross-Functional Collaboration

Serve as point of contact for design documentation, finish boards, and vendor samples.

Prepare internal reports and status updates as requested by leadership.
Qualifications

3–5 years of professional experience in project management, operations, or design-related roles.

Highly organized, detail-oriented, and proactive.

Comfortable supporting senior leadership and handling administrative tasks.

Familiarity with design/architecture terminology or willingness to learn.

Strong communication skills and ability to manage multiple tasks in a fast-paced environment.

Proficiency in G-Suite, Microsoft Excel, and project management tools (e.g., Asana).
Nice to Have

Experience with furniture procurement or vendor coordination.

Interest in interior design, architecture, hospitality, or construction.

Familiarity with Adobe Creative Suite or SketchUp.
