Role Overview

Join NBBJ Seattle as a Marketing Specialist and play a crucial role in supporting our marketing efforts. Working closely with Practice Marketing Directors and Managers, you will create qualifications, proposals, and interview presentations that foster potential client relationships and strengthen existing ones. Marketing Specialists are organized, proactive team players with a keen eye for detail who thrive under pressure and tight deadlines.

Your work will focus on crafting compelling proposals, brochures, and presentations that address client needs while showcasing design challenges and innovative opportunities. You’ll be actively involved throughout the sales cycle, including lead generation, client relationship management, and prospect development. You will also contribute to broader marketing strategy efforts in collaboration with market leaders and the marketing team.

Successful candidates will excel in prospect and project management, graphic design and layout, and have the ability to motivate teams to meet deadlines. You’ll maintain a comprehensive materials library and serve as a subject matter expert for project teams.

Key Responsibilities

Prospect Management:

  • Create well-coordinated responses for qualifications, proposals, and interviews using InDesign.

  • Organize project team content from strategy development to final proposal submission.

  • Edit narratives, source images, manage proposal layout, and coordinate sub-consultant input.

  • Work with the Marketing Manager to ensure the smooth execution of the proposal process, from pre-positioning and proposal creation to interview and post-pursuit phases.

  • Ensure consistent, accurate, and relevant content through active engagement with the Content Management System.

  • Leverage thought leadership in lead generation and pursuit strategies.

Lead Generation & Client Development:

  • Assist in developing and producing custom brochures and lead generation materials.

  • Organize internal business development and client relationship meetings.

  • Contribute to the growth of a proactive marketing culture focused on client targeting and pre-positioning.

  • Collaborate with the Communications team to plan and execute business development events.

  • Support market leaders with marketing collateral needs before and after client engagements.

  • Provide regular updates to the CRM system.

Data Management & Content Organization:

  • Use available proposal tools to streamline the pursuit process.

  • Collaborate with pursuit teams using tools like Adobe Editor, MS Teams, and MURAL.

  • Manage the collection and entry of accurate prospect and project data into databases such as MS Dynamics CRM, Deltek Vision, and OpenAsset.

  • Maintain an up-to-date library of proposal narratives.

  • Utilize marketing tracking and workload tools.

Required Qualifications & Skills

  • 4-year degree in Marketing, Communications, or a related field; a background in English or Journalism is a plus.

  • 4-6 years of relevant industry experience.

  • Intermediate to advanced proficiency with the Adobe Creative Suite (InDesign, Photoshop, Illustrator).

  • Understanding of basic layout and graphic design principles.

  • Strong writing, editing, and communication skills.

  • Exceptional time management, project management, and organizational abilities.

  • Experience with proposal development for professional services firms (portfolio/examples requested).

  • Ability to work efficiently under tight deadlines.

  • Strong interpersonal communication skills.

  • Knowledge of Deltek Vision, OpenAsset, CRM, and other databases is a plus.
