Overview
We are seeking an experienced and bilingual (English/Spanish) Medical Office Manager to oversee the daily operations of our busy medical practice. The ideal candidate will be responsible for managing front- and back-office functions, overseeing billing processes, coordinating surgical scheduling, and ensuring compliance with Merit-Based Incentive Payment System (MIPS) and credentialing requirements.
Core Responsibilities

Supervise and delegate tasks to staff; ensure accountability and follow-up

Provide floating coverage during staff absences

Open mail, prepare bank deposits, and post payments

Handle end-of-month reporting and daily billing functions
-
Coordinate surgical scheduling, precertifications, and authorizations
-
Follow up with insurance companies on denied or delayed claims and services

Manage monthly patient billing and vendor account updates
-
Complete hospital and insurance re-credentialing and narcotic/state license updates
-
Retrieve patient charts from off-site storage and maintain accurate records

Manage medical equipment maintenance and office supply orders
-
Maintain and update login credentials and billing details on insurance/vendor portals

Stay updated on medical policies and procedures through continuing education

Oversee and maintain compliance with MIPS

Manage CAQH and SAMI insurance systems
General Office Responsibilities

Answer and manage phone system; take and deliver accurate messages

Book and confirm appointments; verify and update patient demographics, insurance, and medication records
-
Escort patients to exam rooms and prep/clean rooms between visits
-
Pull, file, and prep patient charts daily
-
Communicate test results and follow-up instructions to patients

Obtain necessary referrals or authorizations for services

Process end-of-day reports and reconcile services provided
Required Qualifications

Bilingual: Fluent in English and Spanish (preferred)

1+ year of experience in medical billing or insurance billing (preferred)

Strong multitasking, leadership, and organizational skills

Familiarity with MIPS, CAQH, and insurance billing software a plus

Comfortable with in-person, fast-paced medical office environment
