Job Description
We are seeking a proactive and experienced Medical Receptionist/Administrator to join our friendly team at Chellaston and Melbourne Medical Centres. The successful candidate will provide high-quality reception and administrative support across both sites, ensuring an efficient and welcoming service for patients and healthcare professionals.
This is an ideal role for someone with previous GP practice or healthcare experience who is well-organised, customer-focused, and comfortable working under pressure in a fast-paced clinical environment.
Please note: Previously unsuccessful candidates need not reapply. A full two-week training period will be required and may include working additional shifts.
Key Responsibilities
Reception Duties

Greet patients and visitors in a friendly, professional manner

Answer incoming calls promptly and direct queries appropriately

Book, cancel, and manage appointments via clinical system

Register new patients and explain practice procedures

Manage repeat prescription requests and specimen handling

Monitor patient flow into consultation and treatment rooms
Administrative Duties

Maintain and update patient records (electronic and paper-based)

File, scan, code, and organise documents in line with protocol

Support clinicians by processing referrals, correspondence, and results
-
Ensure clinic rooms are stocked, clean, and ready for use

Process payments and issue receipts as required

Maintain reception area stock and displays (leaflets, forms, etc.)

Update patient status boards (births, deaths, hospital admissions)
Team Support & Compliance

Work collaboratively with reception and admin colleagues to cover practice opening hours

Participate in team meetings and training sessions

Follow confidentiality, data protection, and health & safety protocols

Open and secure the building as required at the start and end of day

Provide relief cover for other administrative roles when necessary
Person Specification
Essential Requirements

4 GCSEs A–C (or equivalent), including English, Maths, and IT
-
Excellent communication, listening, and interpersonal skills

Strong IT and Microsoft Office (Word, Excel, Outlook) skills

Ability to prioritise tasks, multi-task, and work under pressure

High standard of professionalism and confidentiality
Desirable

Previous experience in a GP practice or healthcare setting

Working knowledge of medical software (e.g., SystmOne, EMIS)

Understanding of Caldicott principles and data protection policies

Familiarity with NHS procedures and patient pathways
