Blackbird is seeking a dedicated Medical Records Specialist to join our mission-driven team, helping children access the mental health care they need. As a Medical Records Specialist, you will process release of information (ROI) requests, maintain accurate records, and ensure HIPAA compliance while providing excellent customer service. This remote role is perfect for individuals who are detail-oriented, organized, and passionate about supporting children and families.


Medical Records Specialist Responsibilities

Manage Medical Records & ROI Requests
As a Medical Records Specialist, you will retrieve, scan, and transmit patient medical charts accurately and efficiently. You’ll validate all requests and authorizations, ensuring releases comply with HIPAA, state laws, and company policies. Your attention to detail guarantees that all documentation is complete, confidential, and handled professionally.

Quality & Accuracy
Perform quality checks on all medical records before release, verifying accuracy, confidentiality, and proper invoicing. Date-stamp requests, highlight pertinent data, and ensure timely completion of all tasks while maintaining efficiency and compliance standards.

Customer Service & Collaboration

Provide Exceptional Support
You will deliver attentive and professional customer service, addressing inquiries and proactively identifying concerns from patients, families, and colleagues. Collaborate with team members and other departments to ensure smooth operations and exceptional service quality.

Documentation & Organization
Maintain a clean, organized workspace, ensure proper storage of records, and follow standard procedures for processing requests. Keep abreast of state laws, fee structures, and regulatory requirements relevant to medical records management.


Qualifications & Skills

  • High School Diploma (GED) required

  • Minimum 2 years of experience in a medical records department or related setting preferred

  • Strong computer literacy; proficiency with EHR systems, Google Workspace, and basic office software

  • Excellent organizational, multitasking, and time management skills

  • Self-motivated, detail-oriented, and able to work independently

  • Strong customer service and communication skills, including empathy and active listening

  • Reliable computer/laptop and internet speed of at least 5 Mbps


Work Schedule & Compensation

  • Flexible remote schedule; minimum 10 hours per week between 9 AM – 5 PM EST, Monday – Friday

  • Salary: $15–$20 USD per hour
