We are looking for a detail-oriented and motivated Office Administrator to support our operations. This role is vital in managing a wide range of administrative, financial, and customer service tasks in a fast-paced environment.
Key Responsibilities:
Bookkeeping:

Maintain accurate financial records

Process invoices, receipts, and payments

Assist with payroll processing and reconciliation
Collections:

Make collection calls for outstanding payments
-
Follow up on overdue accounts and arrange payments
Clerical Work:

Perform general clerical duties (data entry, filing, organizing documents)

Ensure client accounts are fully insured
Customer Interaction:

Answer phone calls and provide professional customer service

Greet walk-in customers with a friendly attitude

Schedule appointments and assist with inquiries
Sales Support:

Process payments and financial transactions
-
Assist in preparing and organizing sales closing documents

Handle compliance paperwork and ensure regulatory accuracy
Parts Management:

Order vehicle parts based on dealership and customer needs

Maintain inventory records and track part deliveries
-
Work with the service department for timely availability
Qualifications:

High school diploma or equivalent (Office Administration certification is a plus)

Experience as an Office Administrator or in a similar role

Strong multitasking, organizational, and time management skills

Excellent verbal and written communication skills

Proficiency in Microsoft Office (Word, Excel, Outlook)

Basic knowledge of bookkeeping and accounting

Ability to handle confidential information

Bilingual: English and Spanish required

Automotive dealership experience preferred but not required
