Job Description

EightPM, a global product placement agency, is seeking an experienced and highly organized Office Manager to oversee the efficient operation of our London workspace. In this dynamic role, you will manage office facilities, lead core financial processes, and provide executive support, ensuring seamless operations across our international teams.

Key Responsibilities

Office & Facilities Management

  • Oversee all operational aspects of the London office, ensuring a safe, efficient, and productive workspace.
  • Manage vendor relationships, building management, and service providers.
  • Maintain office supplies, inventory, and general upkeep.
  • Ensure compliance with health, safety, and building regulations.

Finance & Payroll Administration

  • Manage billing, invoicing, credit control, and expense processing.
  • Maintain accurate financial records, including transaction entry and bank reconciliations.
  • Track and report sales commissions for global teams.
  • Administer global payroll in coordination with external providers.
  • Support monthly financial reporting, budget reconciliation, and audit preparation.
  • Liaise with the US-based finance team for cross-functional coordination.

Executive & Operational Support

  • Provide executive assistant support to senior leaders, coordinating meetings and travel.
  • Assist with onboarding and offboarding logistics for new hires.
  • Manage communication across offices and time zones.
  • Support event logistics and internal team activities.

Skills, Knowledge, and Expertise

Essential Criteria:

  • 3+ years of experience in office management, finance operations, or facilities roles.
  • Strong understanding of payroll, commissions, billing, and budget tracking.
  • Proficiency in Excel/Google Sheets and familiarity with accounting software (e.g., QuickBooks, Xero).
  • Proven ability to manage multiple tasks with excellent attention to detail.
  • Experience working with or for a US-based company is highly preferred.
  • Strong stakeholder management skills with excellent communication abilities.
  • Eligible to work in the UK and able to be in-office 5 days/week.
