Key Duties & Responsibilities:

1. Outpatient, Inpatient & Radiology Bookings

  • Schedule appointments and confirm them in writing.

  • Accurately input and manage data using Trust systems.

  • Coordinate Consultant availability and leave.

2. Clinic Management

  • Front-desk registration and clinic support.

  • Resolve operational issues during clinics.

  • Coordinate follow-ups, radiology, and reports promptly.

3. Patient Navigation

  • Provide clear next steps for patients throughout their care journey.

  • Track each patient’s progress via a cloud-based system.

  • Proactively manage appointments, authorisations, and queries.

4. System Oversight

  • Act as super-user of PAS, ICE, CRIS, ICS & EPR.

  • Train users and improve tech-based workflows.

  • Support implementation of new systems like PathPoint.

5. Finance & Billing Support

  • Discuss pricing with patients and stakeholders.

  • Ensure funding, pre-authorisations, and billing data is collected accurately.

  • Collaborate with Finance Analyst to maximise revenue capture.

6. Customer Service & Communication

  • Deliver exceptional, respectful, and culturally sensitive service.

  • Handle patient, consultant, and embassy communication professionally.

  • Resolve complex queries with initiative and urgency.

7. Service Standards & KPIs

  • Maintain high-quality patient correspondence.

  • Track, report, and help improve booking and service performance.

  • Support continuous improvement through feedback and audits.

8. Team Collaboration

  • Represent Private Care across Trust departments.

  • Assist with staff induction and team cover.

  • Contribute to policy development and service innovation.
