The Patient Access Supervisor is responsible for overseeing and managing the daily operations of assigned patient access functions across one or more clinics or geographic locations. This role ensures smooth and efficient processes in areas such as reception, insurance verification, patient scheduling, registration, and co-pay/co-insurance collection.

As a Patient Access Supervisor, you will lead and mentor registration and scheduling staff, coordinate workload distribution, and provide performance feedback to optimize results. You will play a key role in maintaining quality standards, improving workflows, and ensuring all staff consistently meet patient service expectations.


Key Responsibilities

Leadership & Supervision

  • Supervise registration and scheduling staff, including hiring, training, mentoring, and performance evaluations.

  • Approve or deny leave requests and participate in disciplinary actions when necessary.

  • Manage workload distribution, delegate tasks, and ensure smooth daily operations.

  • Step in to manage or oversee other areas during the absence of a manager.

Operational Oversight

  • Monitor patient access processes including registration, scheduling, insurance verification, and co-pay collection.

  • Identify workflow issues and implement process improvements to enhance efficiency and accuracy.

  • Serve as liaison with other departments to resolve operational challenges.

  • Analyze policies, procedures, and workflows; recommend and implement necessary changes.

Performance & Service Standards

  • Track and maintain performance improvement results.

  • Ensure patient service standards are consistently upheld across all staff interactions.

  • Implement initiatives to reduce errors and improve patient access services.

  • Communicate priorities, policy updates, and procedural changes to team members.


Qualifications

Required Experience

  • 1+ year of supervisory or management experience.

  • 2+ years of patient scheduling/registration work in a healthcare setting (academic medical center, doctor’s office, medical practice, etc.).

  • Knowledge of medical terminology, insurance verification, HMO/managed care, medical coding, and electronic billing/registration systems.

  • Intermediate experience with Microsoft Office (Word, Excel, Outlook) and email/calendar systems.

Required Education/Training

  • Associate’s Degree in Healthcare Administration, Business Administration, Finance, Accounting, or related field.

  • OR 4 additional years of work experience in lieu of degree.

Preferred Education/Training

  • Completion of medical terminology or other healthcare-related courses.

  • Bachelor’s Degree in Business, Accounting, or related field.


Independent Actions

  • Supervise staff and evaluate performance.

  • Monitor workflows and adjust as needed.

  • Partner with management on urgent issues such as policy violations or conflicts.

  • Implement initiatives that improve patient service and staff productivity.


Additional Requirements

  • Must be flexible to work off-shifts and weekends based on operational needs.

  • May be considered essential staff depending on assignment.


Physical & Mental Requirements

  • Physical: Light lifting (<20 lbs.), prolonged sitting, walking as needed.

  • Mental/Sensory: Strong reasoning, recall, problem-solving, clear communication, logical thinking.

  • Emotional: Ability to work in a fast-paced environment, manage multiple priorities, and adapt to frequent change.
