Role Overview: Patient Co-ordinator Team Administrator

We’re seeking a detail-oriented and proactive Team Administrator to support our Patient Co-ordination team. This position is ideal for someone looking to build a career in healthcare admin, with responsibilities spanning appointment management, CRM support (Salesforce), chaperone duties, and general admin support.

You will play a key part in ensuring a smooth patient journey — especially for injectable and filler treatment enquiries — while maintaining the high standard of discretion, care, and professionalism Elanic is known for.

Key Responsibilities

  • Manage injectable/filler appointment enquiries and bookings

  • Update and maintain accurate patient records in Salesforce CRM

  • Process reschedules, cancellations, and appointment changes

  • Support Patient Co-ordinators with document scanning, patient follow-ups, and phone/email queries

  • Provide chaperone support during consultations when required

  • Ensure patient interactions are warm, respectful, and confidential

  • Escalate concerns to appropriate clinical teams as needed

  • Maintain compliance with hospital policies and patient confidentiality (GDPR)

What We’re Looking For

Essential Skills:

  • Strong written and verbal communication

  • Excellent organisation and attention to detail

  • Proficient in CRM systems (preferably Salesforce)

  • Friendly, compassionate, and patient-facing professionalism

  • Willingness to work flexibly (occasional weekends)

  • Ability to handle injectable/filler treatment queries comfortably

  • Calm under pressure and adaptable to change

Desirable Experience:

  • Experience in healthcare, aesthetics, or hospital setting

  • Familiarity with injectable/filler workflow

  • Prior use of Salesforce CRM

  • Experience as a chaperone

  • Understanding of patient confidentiality and GDPR
