Position Overview
The Payroll Specialist is responsible for managing accurate and timely payroll processing while ensuring compliance with company policies and financial regulations. This role requires a detail-oriented professional with strong accounting skills, confidentiality awareness, and excellent organizational abilities. The ideal candidate thrives in deadline-driven environments and works well within a team.
Key Responsibilities
- Oversee multi-division payroll processing, ensuring accuracy and compliance with GAAP and company policies.
- Act as a subject matter expert for payroll system upgrades, implementations, and testing, particularly with UKG.
- Manage relationships with third-party payroll and tax providers (UKG).
- Lead agency tax audits and ensure compliance with internal and external audit requirements.
- Collaborate with Accounting and HR teams to coordinate payroll activities for each pay period.
- Process payroll updates, including new hires, terminations, and pay rate adjustments.
- Manage special payroll processes, such as bonuses and commissions.
- Process and batch A/R invoices and payments from ServiceTitan to Sage Intacct.
- Collect and process A/R payments from field technicians, track outstanding balances, and handle collections as needed.
Required Skills & Abilities
- Extensive knowledge of payroll and accounting principles, including payroll laws and regulations.
- Experience handling garnishments, child support, levies, and other deductions.
- Ability to post general journal entries for payroll periods accurately and on time.
- Strong ability to research and resolve payroll-related discrepancies and post adjustments as needed.
- Advanced Excel skills (including pivot tables) for generating payroll reports.
- Detail-oriented with strong organizational and planning skills.
- Ability to multi-task and prioritize effectively in a fast-paced environment.
- Experience with ServiceTitan is a plus.
Qualifications
- High school diploma or equivalent required; Bachelor’s degree in a relevant field preferred.
- 5-7 years of payroll experience or an equivalent combination of education and leadership experience.
- Certified Payroll Professional (CPP) certification preferred.
- Strong experience with UKG Payroll or similar payroll systems.
Work Environment
- Business casual office setting with in-person/on-site work required.
- Ability to sit at a desk/computer station for extended periods.
- Occasional lifting/moving of objects up to 30 lbs (for document management).
- Strong communication skills are essential for collaborating in a dynamic work environment.
