Payroll Tax Specialist I

Key Responsibilities

  • Process payroll-tax payments and returns for federal, state, and local agencies.

  • Prepare and file monthly, quarterly, and annual tax returns, including Forms 941, 940, and W-2.

  • Manage EFT payments, e-filings, and unemployment tax submissions for multi-state entities.

  • Update State Unemployment Insurance (SUI) rates and tax codes.

  • Research and respond to correspondence from tax agencies.

  • Validate and set up tax accounts for new clients and new state registrations.

  • Prepare amended returns and W-2/1099 corrections as needed.

  • Reconcile inter-quarter and year-end data to ensure accuracy.

  • Support client services by resolving payroll tax inquiries.

  • Partner with internal teams to ensure compliance with tax regulations and deadlines.

  • Assist leadership with special projects and process improvements.

Qualifications

  • High School diploma or equivalent required; Bachelor’s degree in Accounting, Finance, or related field preferred.

  • Minimum 3 years of payroll tax experience, preferably in a service bureau or complex, multi-state environment.

  • Strong knowledge of federal, state, and local payroll tax laws.

  • Experience with MasterTax and payroll systems (e.g., iSolved) strongly preferred.

  • APA certification (FPC or CPP) is a plus.

  • Advanced Excel skills (pivot tables, v-lookups) and proficiency in O365.

  • Excellent problem-solving, analytical, and communication skills.

  • Ability to work under strict deadlines and handle confidential information with integrity.

  • Strong client relationship management and teamwork abilities.
