About the job

Seeking a dynamic, resourceful and experienced Personal Assistant to support the CEO of a successful financial services firm, located in the Northern Suburbs. This role will work side by side with one other EA. The ideal candidate will have worked closely with an Executive in a mid-sized firm for at least 5+years. This role entails calendar management, private jet coordination, family trip planning and appointments, event & meeting support and managing special personal projects. Our team enjoys collaborating in the office daily, therefore this role will be in the office Monday-Friday, including regular OT.

Please note: a college degree is required for this role.

Schedule: 5 days in-office

Hours: 8:30-6:30pm with hours varying, OT can be 7:30pm

RESPONSIBILITIES:

  • Calendar support, prioritize inquiries and requests while troubleshooting conflicts and keeping things running smoothly; this includes meeting & document preparation, agenda planning, travel planning and communications.
  • Handle a variety of project-driven tasks as needed (ex. car buying, readying various vacation homes, art collection management, vacation planning).
  • Work closely with CEO and Executive Assistant to keep updated on commitments and responsibilities.
  • Anticipate the CEO’s needs in advance for meetings and respond to/handle all confidential and sensitive material with sophistication
  • Schedule, plan, and organize company events and meetings

QUALIFICATIONS:

  • Bachelor’s degree required
  • Minimum of 5+ years Personal or Executive Assistant experience, preferably C-level support
  • Knowledge of MS Office Suite, including MS Outlook, Word, Excel & PowerPoint
  • Ability to work collaboratively with the Executive assistant, Executive Leadership team and the broader corporate teams
  • Maintain a positive attitude and can work in a fast-paced environment while juggling multiple tasks and demands
  • Exhibit excellent written and verbal skills
  • Willing to work 5 days in-office, 8:30-6:30pm and OT as needed (can be 7-8pm)

COMPENSATION:

Base salary up to $125,000 + 10-15% bonus potential, comprehensive benefit plan, 401k
