About the job
Role: Responsible for coordinating Electrical Division project plans and progress to achieve project goals objectives, to ensure the Division delivers its services and results as per agreed upon performance expectations /standards. Utilize project management systems to monitor project progress and budgets. Responsible for providing administrative support to project managers.
Responsibilities/Duties:
- Support established project objectives: Analyze project proposals, collaborate with senior management re expected service deliverables/results/outcomes
- Coordinates approved project plans – scheduling, time frame to completion, funding and staffing
- Support project staff. Assist with project management activities
- Calculate charges, and generate invoices and statements to bill customers on an accurate and timely basis
- Maintain relationships with client groups, suppliers, workers and vendors.
- Coordinate work packages, scheduling and work plan interfaces with vendors.
- Perform data entry of Requests for Information (RFIs), Requests for Quotations (RFQs), Change Notice Submittals and follow-ups.
- Collect, review and submit weekly timesheets;
- Conduct purchase order entry.
- Prepare tender quotations and ensure they are submitted on time.
- Assist with pricing of time and material projects.
- Prepare and submit Operating and Materials manuals, warranties and inspection certificates.
- Prepare and submit statutory declarations for the accounting department.
- Prepare and communicate material picks from Warehouse personnel
- Prepares project status reports: Collects, analyzes, summarizes information and trends.
- Print drawings for tender quotations, foreman copies and as-built documentation
- Perform general administrative duties as required by Electrical Services Management.
- Perform all regular duties with varying flexible hours.
- Maintains project staff job results
- Maintains project database
- Maintain project documentation through document management system.
- Develops information requirements, designs information systems
- Establishes and enforces industry standard project management procedures and protocols
Occupational Requirements:
- 4-6 years of project coordination experience
- Diploma or Degree in, Business Administration, or Project management
- PMP Certification is an asset
- Experience working in a fast-paced and dynamic Construction and related environments
- Experience scheduling resources and other team members
- Proven experience preparing work orders and scope of work communications
- Experience preparing and submitting reports in a timely and accurate basis
- Strong electrical and construction background and experience
- Great understanding and working knowledge of Project Management methodologies
- Proficient in the use of Microsoft Office; specific to Outlook, Word, Excel
- Knowledge of asset management including inventory tracking and reporting
- Ability to prepare invoices, monthly billings, purchase orders and other accounting documentation
- Excellent communication skills through the utilization of email, phone and face to face
