Job Summary
The Program Manager is primarily responsible to plan, resource, track and execute a range of patient engagement projects to deliver on SOWs and milestones for our clients. The Program Manager oversees the day-to-day operations of cross-functional teams, focusing on maximizing team performance, meeting milestone deadlines, and achieving project objectives. The Sr. Manager, PM works with teams across the Company to meet the rapidly evolving needs of our clients. As a Program Manager, you will manage internal schedules, timelines, deliverables, and due dates. You will also serve as an additional point of contact, supporting the Client Partners, with client facing meetings.
Essential Job Functions
Program & Account Management
- Collaborate with Client Partners to provide an integrated approach to delivering our products/services
- Ensure delivery of milestones by cross functional teams to maximize SOW value and support client satisfaction
- Ensure accuracy in forecasting, billing and other financial reporting
- Support organic growth through the initiation of new project planning, including SOW and detailed budget development
- Manage new project set up: build project in system; coordinate and submit new project infrastructure requests; develop & manage full project plan (activity & budget trackers, timelines, etc.); drive identification of project resources
- Schedule and facilitate internal meetings as needed to review project activity, track progress, and update project teams. Flag obstacles that may impede deadlines to your Group Director, PM depending on the level of obstacle.
- Participate on client calls, taking notes, identifying action items, etc. and provide reports to both internal teams and the assigned CP per SLAs
- Plan, track, and assure quality through all project phases; manage, review, and analyze client-facing deliverables, as needed
- Coordinate with your Group Director, PM to connect with leaders of functional teams to identify appropriate resources to ensure successful program management
- Maximize the capacity of the program team and identify gaps/overages
- Contribute to and adhere to Company standards, policies, standard operating procedures, best practices, etc.
- Provide coverage to assigned accounts, partnering with Client Partners to ensure Client needs are met through delivery of milestones
- Identify opportunities to improve program management and team communication efficiency
- Collaborate with internal and external team members to establish and implement best practices, standardization and effective methods and tools for strong program management
- Maintain strong working relationships with team members across the organization

Financial Management
- Develop and manage project budgets, forecasting and utilization for assigned projects
- Identify tasks/projects at risk of over-budget; plan and facilitate execution to course-correct
- Run regular budget reports for review and approval, as needed
- Work with Client Partner and accounting teams to manage monthly project invoicing on time following the Reverba billing process
- Identify and process changes in project scope
Minimum Qualifications
- B.A./B.S. in Business, Finance, English, Journalism, Public Relations, or related field, or the equivalent combination of education and experience required
- Minimum of 2 years of work experience collaborating on small to medium scale projects (preferably within a client services environment)
- Passion for working and leading in a fast-paced, high-volume deadline-oriented environment
- High level of ownership, enthusiasm and a strong commitment to collaboration
- Solid critical thinking skills
- Expertise in delivering solutions to complex problems
- Ability to be attentive and responsive to client needs and concerns
- Ability to prioritize and multi-task within time and resource constraints
- Strong working knowledge of project management practices
- Excellent oral and written communication skills.
- Experience working with remote teams.
- Skilled in Microsoft Office Suite especially Excel. Knowledge of other program management tools a plus
- Ability to travel up to 5%.
