Job Summary
We are seeking a highly organised and proactive Property Administrator to support the smooth and efficient operation of our property management team. This position is ideal for someone with a strong background in administrative duties and a keen interest in property management. The successful candidate will work closely with the Property Manager and play a vital role in tenant communication, data management, and coordination of maintenance and operational tasks. Key Responsibilities

Data Entry & Record Keeping:
Accurately input and maintain data related to tenants, lease agreements, rent payments, and maintenance requests using both traditional methods and property management software (Yardi preferred). -
Tenant & Vendor Communication:
Handle inbound and outbound phone calls, emails, and in-person interactions with tenants, vendors, and contractors in a professional and courteous manner. Respond to inquiries and provide timely updates. -
Office Administration:
Manage day-to-day office tasks such as filing, scheduling appointments, sending correspondence, ordering office supplies, and assisting with routine administrative functions. -
Maintenance Coordination:
Log maintenance requests, liaise with contractors or maintenance personnel, and follow up to ensure timely resolution and tenant satisfaction. -
Report Preparation:
Assist in preparing reports related to occupancy rates, maintenance trends, lease expirations, rent collection, and tenant feedback. -
Support Property Management Operations:
Provide general support to the Property Manager on key projects, property inspections, leasing initiatives, and event coordination. -
Service Promotion:
Promote additional building amenities and services to existing tenants to enhance their experience and satisfaction with the property.
Requirements

Minimum 2 years of administrative experience, ideally within property management or a similar industry.

Strong data entry skills with a high level of accuracy and attention to detail.

Excellent written and verbal communication skills, including strong phone etiquette.

Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience using Yardi software is a strong plus.

Ability to multitask, prioritise responsibilities, and work independently in a fast-paced environment.
